How it works

How to create an email signature in 3 steps

No design skills and no account needed. Everything happens in your browser.

  1. Pick a template

Choose your industry and a layout: side-by-side with your photo, stacked for narrow screens, or text-only for a minimal email signature.

  2. Add your details

Type your name, job title and contact details, paste a link to your photo, add social media icons and one call-to-action button, then pick your brand color.

  3. Copy and paste

Click Copy signature and paste it into your email signature settings. Use Copy HTML for Thunderbird or any app that asks for HTML signature code.

Templates

Email signature templates for every industry

Every profession needs something a little different in its signature: a license number, a disclaimer, a booking button. These templates already have room for it.

Real estate

Realtor and real estate agent email signature

Buyers save agent emails for months. A realtor email signature should make you easy to call and easy to trust.

  • Photo, brokerage and DRE or license number
  • Direct phone number first
  • A “Book a viewing” button linking to your listings
Legal

Lawyer and attorney email signature

A lawyer email signature works like a formal attorney signature block: name, credentials, firm and bar number, followed by a confidentiality notice.

  • “Esq.” or “JD” after your name
  • Bar number and office address
  • Privileged and confidential disclaimer
Healthcare

Doctor, nurse and medical email signature

Patients and colleagues look for credentials and the clinic first. Medical email signatures also carry a privacy notice.

  • MD, DO, RN, DDS or NP credentials
  • Clinic address and NPI number
  • “Book an appointment” button and health information notice
Finance & insurance

Financial advisor, accountant and insurance agent signature

Regulated professions often have to show a license and a compliance line. Keep the design calm and the details exact.

  • CFP®, CPA or licensed insurance agent number
  • Compliance disclosure in small print
  • “Book a review” button
Marketing

Marketing agency email signature

Your signature is the most-viewed ad your agency has. Use your brand color, a one-line positioning statement and a link to your work.

  • Bold accent color and tagline
  • Instagram, LinkedIn and TikTok icons
  • “See our work” button
Freelancers & creatives

Freelancer, graphic designer and photographer signature

For freelancers, the signature does the selling. Put your portfolio link front and center and say when you are available.

  • Portfolio website as the main link
  • Availability line, such as “Booking from March”
  • Pronouns, if you use them
Sales & corporate

Sales, CEO and business owner email signature

A sales email signature should turn replies into meetings. A CEO or small business owner signature should look established without shouting.

  • Company name in your accent color
  • “Book a demo” or “Book a call” button
  • LinkedIn icon for social proof
Education

Teacher, college and graduate student email signature

A student email signature for internships and professors keeps it simple: name, degree, university and expected graduation year. Teachers add their school and office hours.

  • “B.S. Biology, Class of 2027” as your job title
  • University or school as the company
  • LinkedIn and office hours or a portfolio link
Tech & startups

Founder, engineer and consultant email signature

Short, clean and linked to your product. Add GitHub for engineering roles and a sign-up or demo button for founders.

  • Minimal layout without a photo
  • GitHub, X and LinkedIn icons
  • “Try it free” or “We're hiring” tagline
Best practices

What to include in a professional email signature

The best email signatures are short. Aim for four or five lines of text, one image and one clear next step.

Think of your signature as a business card that is attached to every email you send. People should be able to see who you are, what you do and how to reach you in a couple of seconds.

Personal email signatures can be lighter: your name, one link and maybe a short quote. Business email signatures should stay consistent across the whole company.

  • Full name and job title. Add credentials such as MBA or PhD and your pronouns if you use them.
  • Company and website. Show the domain without “https://www.”, it is easier to read.
  • One or two contact methods. Phone and email are enough. Every number should be clickable on mobile.
  • A professional photo. Emails with a face get recognized and answered faster.
  • Two to four social icons. Only the profiles you actually keep up to date.
  • One call to action. Book a call, see listings, read the case study. One button, not five.
  • Avoid long quotes, more than two fonts, images of text, and your email address written twice.
Size guide

Email signature size: image, logo and photo dimensions

The right email signature dimensions keep it sharp on retina screens and stop it from breaking on phones. Use images at twice the size they are shown.

Element Shown at Image file size
Whole signature 300–500 px wide, never over 600 px Under 10,000 characters of HTML for Gmail
Profile photo 70–100 px square 200 × 200 px, under 50 KB
Company logo Up to 200 px wide, 40–60 px tall 400 × 120 px PNG, under 50 KB
Email signature banner Up to 600 × 200 px 1200 × 400 px, under 100 KB
Social media icons 16–24 px 48 × 48 px PNG
Text Name 15–18 px, details 12–14 px Email-safe fonts only
Social icons

Social media icons for your email signature

Add LinkedIn, Instagram, X, Facebook, YouTube, TikTok, WhatsApp or GitHub icons in the Social step. Each icon is a small hosted PNG, so it shows up in Gmail and Outlook, and links straight to your profile.

Social media logos in an email signature work best when they are small and in one row. Use the networks your clients actually use: LinkedIn for B2B and legal, Instagram for real estate and creative work, WhatsApp for clients who prefer to message.

The free generator uses static icons, which every email client supports. Animated email signature icons are available in SignTry plans.

Fonts

Best fonts for email signatures

The best font for an email signature is one your reader already has installed. Custom web fonts fall back to Times New Roman in Outlook, so stick to these email-safe fonts.

ArialThe safest choice. Clean and readable everywhere.
VerdanaWide letters, very readable at small sizes.
TahomaCompact and modern, good for long titles.
Trebuchet MSFriendly, works well for creative work.
GeorgiaClassic serif for law firms and finance.
Times New RomanTraditional and formal.

FAQ

Email signature questions

Is this email signature generator really free?

Yes. You can pick any template, fill in your details and copy the signature as many times as you like. There is no sign-up, no watermark and no trial that runs out.

Why do I paste a link to my photo instead of uploading it?

Email clients only show images that are hosted online. Gmail and Outlook block or strip images embedded inside the signature, so your photo has to live at a public link, for example on your website or an image host that gives a direct link ending in .jpg or .png.

Will my signature work in Outlook and Gmail?

Yes. Every template is built with email-safe tables and inline styles, the same way professional email newsletters are built, so it looks right in Gmail, Outlook (new, classic and web), Apple Mail, iPhone Mail, Yahoo Mail and Thunderbird.

Gmail says my signature is too long. What do I do?

Gmail allows up to 10,000 characters of signature code. The generator shows how many characters your signature uses. If you are over the limit, remove a social icon, shorten the disclaimer, or use a simpler template.

How do I add pronouns to my email signature?

Type them in the Pronouns field in the Details step, for example she/her or they/them. They appear in brackets right after your name, in a smaller, lighter style.

What should a professional email signature include?

Your full name, job title, company, one or two ways to contact you, and your website. Add a photo, a license or bar number if your profession requires it, a few social icons and one call-to-action button. Keep it to four or five lines of text.

What size should an email signature be?

Keep the whole signature under 600 pixels wide, ideally 300 to 500 pixels. Show your photo at 70 to 100 pixels, using an image of about 200 by 200 pixels so it stays sharp on high-resolution screens, and keep each image under 100 KB.

Can I save my signature or make signatures for my whole team?

The free generator does not save signatures. A SignTry account lets you save and edit signatures, track clicks on every link, add logos, banners and animated icons, and create one signature per team member from a CSV file.
